POSITION SUMMARY The Lead Facility Representative works in conjunction with the Facility Supervisor to oversee the assigned tasks that are performed by the Facility Representatives. The Lead Facility Rep ensures that the departmental goals and deadlines are met within compliance. They also promote harmony and cohesiveness in the department while providing guidance and support. ESSENTIAL FUNCTIONS Educates facilities about LogistiCare, NET and disseminate contact information for appropriate telephone numbers Provides facilities with information about available features such as gas reimbursement, bus passes and how to complete various paperwork and reports Interacts with facility social service staff to coordinate patient trips Solves specific patient issues with facility case manager (initiate schedule changes, routing suggestions, provider changes, etc.) Prompts the facility social worker to coordinate with patients to get complete updated lists of patient addresses to accurately update LogistiCare's database for the new provider Manages prescheduled patient trips in LCAD Audit provider trip logs against prescheduled trip confirmations received from facilities Provide outreach to medical facilities Handle facility complaints regarding prescheduled patient delivery and pick-up Identify potential fraud and or abuse Prompts the facility contacts to update and review the verification reports by the designated deadline for active standing orders. Upon receipt of the verification reports, examine the system for Verified-Paid Trips and reports this to Healthcare Manager Compare verification report to create Facility Compliance Reports Performs other duties as assigned POSITION QUALIFICATIONS Competency Statement(s) Accurate - Ability to perform work accurately and thoroughly Communication, Oral - Ability to communicate effectively with others using the spoken word Communication, Written - Ability to communicate in writing clearly and concisely Customer Oriented - Ability to take care of the customers' needs while following company procedures Interpersonal - Ability to get along well with a variety of personalities and individuals Patience - Ability to act calmly under stress and strain, and of not being hasty or impetuous Reliability - The trait of being dependable and trustworthy Education High School Graduate or General Education Degree (GED) Experience At least two years prior experience in a fast-paced, high level customer service oriented environment 1+ years demonstrated experience leading preferred Social Services and/or case management, basic medical terminology and/or front or back office medical experience preferred SKILLS & ABILITIES Excellent customer service and phone skills Must be able to work independently and as a part of a team Ability to foster and maintain a positive environment Ability to quickly learn new technology Must be able to understand and follow complex instructions Ability to accurately type 35wpm Read and write English fluently Proficient in Microsoft Word, Excel and Outlook and must be able to learn and acquire proficiency in LogistiCare's proprietary software application (s) Bi-lingual a plus SUPERVISORY RESPONSIBILITIES Assists the Facility Supervisor and Healthcare Manager by monitoring the performance of the Facility Representatives. Carries out lead responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include assisting and assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Additional functions and requirements may be assigned by supervisors as deemed appropriate.The Lead Facility Representative personifies the standards of the social work profession in the NET field by promoting the core social work values of social justice, personal dignity, human relationships, integrity and competence throughout the organization by performing the following duties: * Educates facilities about LogistiCare, NET and disseminate contact information for appropriate telephone numbers * Provides facilities with information about available features such as gas reimbursement, bus passes and how to complete various paperwork and reports * Interacts with facility social service staff to coordinate patient trips * Solves specific patient issues with facility case manager (initiate schedule changes, routing suggestions, provider changes, etc.) * Prompts the facility social worker to coordinate with patients to get complete updated lists of patient addresses to accurately update LogistiCare's database for the new provider * Manages prescheduled patient trips in LCAD * Audit provider trip logs against prescheduled trip confirmations received from facilities * Provide outreach to medical facilities * Handle facility complaints regarding prescheduled patient delivery and pick-up * Identify potential fraud and or abuse * Prompts the facility social worker to coordinate with patients to get complete updated lists of patient addresses to accurately update LogistiCare's database for the new provider * Send out Circle Reports on a monthly basis to all Facilities that have Standing Orders * Upon receipt of the Circle Reports, examine the system for Verified-Paid Trips and reports this to Healthcare Manager * Compare Circle Report raw data to create Facility Compliance Reports * Assist in management of the Z Drive in conjunction with the Fax Press * SME (Subject Matter Experience) for new hires and existing employees for questions related to LCAD, Standing Order, Single Trips, Facilities, and Reporting Note: This description is not intended to be all-inclusive. REQUIREMENTS Education: Qualified candidates must have a high school degree or GED Experience: * At least two years prior experience in a fast-paced, high level customer service oriented environment * 1+ years demonstrated experience leading preferred * Social Services and/or case management, basic medical terminology and/or front or back office medical experience preferred Skills: * Superior customer service and phone skills; strong verbal communication, writing, problem solving, time management, and organizational skills * Must possess professional writing skills and ability to correspond with professionals both verbally and in writing. * Ability to accurately type 35+ words per minute * Must have strong spreadsheet and database skills to include intermediate proficiency with Microsoft Excel, Word and Outlook; must be able to learn and acquire proficiency in LogistiCare's proprietary software applications Environmental and Working Conditions: * Entire work time is conducted in an office setting * Physical and Mental Requirements: * Ability to work independently or with a team a must LogistiCare is an Equal Opportunity Employer.
