Executive Administrative Assistant Location: 101 Hudson St., Jersey City, NJ 07302 Pay Rate: $24.92/hour on W2 (paid weekly) Schedule: M - F, Standard Business Hours. Start Date: ASAP, pending onboarding completion. Contract: Initial 10-month contract Contract Extension or Conversion to FTE: Based on performance, attendance, and business needs Access to Health Benefits Role Overview We are seeking a high-caliber, proactive Executive Administrative Assistant to provide diverse and confidential support to our Risk and Regulatory Management leaders. This role is pivotal in managing the daily operations of the Business Management and Controls (BMC) team. You will serve as the primary point of contact for executive logistics, site-specific needs, and floor support in Jersey City. The ideal candidate is a polished professional who thrives in a fast-paced environment, possesses impeccable judgment when handling sensitive information, and can navigate complex, often conflicting priorities with ease. Key Responsibilities Your daily impact will involve a blend of executive support and site-specific coordination: Executive Support Calendar Management: Maintain detailed calendars and prioritize complex meeting requests across multiple time zones. Travel & Expenses: Coordinate end-to-end travel arrangements and process expense reports accurately via Concur. Meeting Logistics: Schedule complex meetings, document meeting minutes, and ensure all digital and physical resources (WebEx, conference rooms) are prepared. Site & Floor Operations Onsite Point of Contact: Act as the primary floor support for building access, catering for site events, and managing accommodations for traveling team members. Facilities Coordination: Manage office supplies, printer maintenance, signage, and ad-hoc maintenance requests. Resource Management: Coordinate equipment returns for exiting staff and assist with general onboarding logistics. Required Qualifications (Must-Haves) Executive Presence: A polished professional with superior oral and written communication skills and the ability to articulate client-centric solutions. Software Mastery: Advanced proficiency in MS Office (Outlook, Excel, Word, PowerPoint, Visio) and virtual meeting platforms (WebEx). Proactive Problem Solving: A self-starter mindset with the ability to think ahead and juggle multiple responsibilities under pressure. High Integrity: Proven ability to handle highly sensitive, confidential, and non-routine information with tact and diplomacy. Multi-Executive Experience: Demonstrated experience supporting more than one senior executive simultaneously. Adaptability: Ability to reprioritize tasks quickly based on shifting deadlines or unexpected events. Preferred Experience 2 years of administrative assistance experience. Deep familiarity with Concur or similar travel/expense software. Knowledge of bank policies, procedures, and Core Values. Experience engaging with executive stakeholders across diverse geographies.
